You've rounded up your resume, completed your cover letters, and finalized your headshot selections. Now it's time to assemble your packets and send them on their way...but you're not exactly sure how to go about doing so. Depending on your personal preferences and the location(s) where your alumnae live, there are a few different ways to deliver your information while ensuring a polished presentation.
One quick note before beginning: If you are working with a local alumnae Panhellenic organization to gather recommendations, be sure to go by the guidelines they give you! Our suggestions are best suited to those of you who will be approaching alumnae directly for RIFs and Letters of Support.
1. Presentation Envelope Only (9" x 11.5")
You can select this option if you will be hand-delivering your sorority packets to the alumnae who will be writing a letter of support and/or completing a Recruitment Information Form on your behalf.
HOW TO ASSEMBLE + DELIVER
Prepare your Presentation Envelopes in advance so that each alumna knows exactly where to send your information after completing her recommendation. Each Presentation Envelope should feature a mailing label pre-addressed to the appropriate sorority house on your campus and postage.
Place the contents of your sorority packet—your resume, cover letter, academic information, and photographs—inside the envelope. Do not seal the envelope before hand-delivering to alumnae; in order to complete your recommendation, each alumna will need to access your information before sending to the appropriate sorority house. If you would like her to seal your envelope with a personal sticker before forwarding, include an extra personal sticker inside your envelope topped with a sticky note that says the following: “Please use this sticker to seal the outside of my envelope before mailing to the sorority house.”
2. Presentation Envelope + Pocket Folder
Again, select this option only if you will be hand-delivering your sorority packets to alumnae!
HOW TO ASSEMBLE + DELIVER
Each Presentation Envelope should feature a mailing label addressed to the appropriate sorority house on your campus and postage.
You will then place the contents of your sorority packet—your resume, cover letter, academic information, and photographs—inside of a pocket folder. After she has completed her recommendation, each alumna will transfer your information from the pocket folder to the pre-addressed Presentation Envelope you've provided, and send your info on its way!
Please keep in mind that, in this scenario, your pocket folder will be seen exclusively by the alumnae writing your recommendations and used for organizational purposes only. If you would prefer for the alumnae to send the contents of your packet AND your folder on to each sorority house, you will need to provide them with one of our larger Mailing Envelopes instead. Read option 3 for more details!
3. Mailing Envelope (9.5" x 12 5/8") + Pocket Folder
Yep, you guessed it: select this option only if you will be hand-delivering your sorority packets to alumnae!
HOW TO ASSEMBLE + DELIVER
Prepare your Mailing Envelopes in advance so that each alumna knows exactly where to send your information after completing her recommendation. Each Mailing Envelope should feature a mailing label that has been pre-addressed to the appropriate sorority house on your campus and postage.
You will then place the contents of your sorority packet—your resume, cover letter, academic information, and photographs—inside of a pocket folder. After she has completed your recommendation, each alumna will place your pocket folder inside the pre-addressed Mailing Envelope you've provided, and send your info on its way!
If you will be mailing packets to alumnae and would like each woman to send your information AND your folder to the appropriate sorority house after completing her recommendation, you will need to place both your pre-addressed Mailing Envelope and your folder inside of an even larger manila envelope to mail to alum.
4. Presentation Envelope + Mailing Envelope
The Presentation Envelope + Mailing Envelope combination is our number one recommendation for those of you who will be mailing your sorority packets to alumnae!

Each of your Presentation Envelopes should feature a mailing label pre-addressed to the appropriate sorority house on your campus and postage.
Place the contents of your sorority packet—your resume, cover letter, academic information, and photographs—inside the Presentation Envelope. Do not seal the envelope before placing inside of your larger Mailing Envelope; in order to complete your recommendation, each alumna will need to access your information before sending to the appropriate sorority house. If you would like her to seal your envelope with a personal sticker before forwarding, include an extra personal sticker inside your envelope topped with a sticky note that says the following: “Please use this sticker to seal the outside of my envelope before mailing to the sorority house.”
Next, prepare your Mailing Envelopes. Each of your Mailing Envelopes should feature a return address label printed with your home address, a mailing label addressed to the alumna writing your recommendation, and appropriate postage.
Once you've finished addressing both envelopes, place your unsealed Presentation Envelope inside of your Mailing Envelope, seal the Mailing Envelope, and send your info on its way!

Since many sororities now accept electronic recommendations, we also recommend providing every alumna with a digital copy of your information. To do this, simply attach PDFs of your academic information, cover letter, and resume to an email, and attach your three headshots as web-resolution JPEG files.
